Onboarding help & FAQ

Step-by-step instructions for every access item, plus answers to the questions we hear most. Still stuck? Email martin@vc-solutions.net.

General

How long does all of this take?
Most items are five-minute access grants. The two that take longer depend on other teams: Qu data access, and the ordering-page tracking your web team installs. Start those first.
Do you need our passwords?
Never. Every step invites our email or business ID through the platform's own sharing tools. Please don't send passwords, including in the notes.
Can we take access away later?
Yes, anytime, from the same screen you used to grant it. You keep ownership of every account, page and dataset.
Someone else owns one of these accounts (corporate, franchisor, an old agency).
Choose "I need help" on that item and tell us who owns it. We'll draft the ask or reach out with you.
Can I stop and come back?
Yes. Progress saves automatically in this browser. You can also submit what you have now, come back later to update items, and submit again.
What happens after I submit?
We confirm each access on our side and follow up on anything missing. We'll set a check-in on the 1st or 2nd to make sure access and ads are ready to go live around October 1. Anyone on your team is welcome to join.
What do we get once things are live?
A report every two weeks, and a monthly call to decide what to change. If anything ever looks off, you'll hear it from us first.

Share a Google Drive folder with your content

Ads are built from your real photos, logos and menu. A shared folder gives us one place to pull from, and one place to drop finished creative back for your approval.

  1. 1
    Open Google Drive
Sign in with your business Google account.
    Open drive.google.com
  2. 2
    Create a folder
Click New → New folder and name it something like "[Your brand] – VCS Content".
  3. 3
    Add what you have
Logos (PNG or SVG), food and store photos, brand guidelines, current menu and prices, and any past ads or videos. Rough is fine. Don't hold this step up waiting for perfect files.
  4. 4
    Share it with our team
Right-click the folder → Share → Share. Add all three emails below, set the role to Editor so we can add finished creative for your review, then click Send.
    Keegan
    keeganzoller@vc-solutions.net
    Martin
    martin@vc-solutions.net
    Ella
    ella@vc-solutions.net
  5. 5
    Paste the folder link below
Open the folder, copy the URL from your browser bar, and paste it in the field below.
We use Dropbox / OneDrive / Box, not Google Drive.
That works. Share a folder from whatever you use with Keegan, Martin and Ella (keeganzoller@, martin@ and ella@vc-solutions.net) and paste the link here.
We don't have professional photos.
Phone photos of your food and storefront are useful, and corporate brand assets fill in the rest. Send what you have and we'll tell you if anything is missing.
Can we keep adding files later?
Yes. Once it's shared we see anything you add, so there's no need to re-send.
Why Editor and not Viewer?
Editor lets us put draft ads in the same folder for your approval. If your company policy requires Viewer, that's OK too. We'll share drafts separately.

Give us partner access in Meta (Facebook & Instagram)

Partner access with full control (admin) lets us set up and run ads for your Facebook Page and Instagram account and connect your pixel. You keep ownership, and once everything is live we can drop to view-only access.

  1. 1
    Open Business settings
Sign in with the Facebook profile that's an admin of your business, then open Business settings.
    Open business.facebook.com/settings
  2. 2
    Go to Users → Partners
In the left menu, expand Users and click Partners.
  3. 3
Click Add → "Give a partner access to your assets"
Paste our business portfolio ID and click Next.
    VCS business portfolio ID
    869503942771341
  4. 4
    Give us full control (admin)
Select your Facebook Page(s), Instagram account, Ad account and Dataset / Pixel (and Catalog if you have one). For each one, choose Full control / Manage everything, then click Save. We need admin to set things up. Once you're live, we can drop to view-only.
  5. 5
    Tell us it's done
Fill in what you can below. The ad account ID is under Accounts → Ad accounts and looks like 1234567890123456.
No business portfolio, only a Facebook Page?
  1. 1
    Open your Page settings
Switch into your Page, then go to Settings → Page setup → Page access.
  2. 2
Add us under "People with Facebook access"
Click Add New, search for or paste our email, and turn on full control (admin).
    Our access email
    keeganzoller@vc-solutions.net
  3. 3
Choose "We don't have an ad account" below
If you've never run ads, we can set up the ad account for you and walk you through adding a payment method.
I don't see Business settings, or it says I don't have permission.
Only full-control admins can add partners. Ask whoever set up your Facebook business to do this step, or add them as the contact in the "I need help" note and we'll reach out.
Corporate or the franchisor owns our Facebook Page.
Common for franchise brands. Tell us who manages it in the help note. We can usually run local ads from an ad account you own with permission to post as the Page.
Business Manager, Business Suite, business portfolio. Which is it?
All the same thing. Meta has renamed it a few times. The Partners screen is the one you want.
Why do you need admin / full control?
Setting up campaigns, audiences and pixel tracking needs admin permissions. Once everything is live, we can drop to view-only access. Just ask.
Can we remove your access later?
Yes. The same Partners screen has a Remove option. Your Page, ad account and pixel stay yours.
Who pays for the ads?
Ad spend is billed to the payment method on the ad account. We'll confirm budgets with you before anything goes live.

Give us access to Google Analytics

Analytics shows what people do after they click an ad: menu views, order starts and completed orders. It's how we measure what's working beyond clicks.

  1. 1
    Open Google Analytics
    Open analytics.google.com
  2. 2
    Click Admin
The gear icon at the bottom left.
  3. 3
    Open Property access management
Make sure the property for your website is selected, then under Property settings click Property access management.
  4. 4
    Add our team as Editors
Click the blue + → Add users. Add all three emails below, choose the Editor role, then click Add.
    Keegan
    keeganzoller@vc-solutions.net
    Martin
    martin@vc-solutions.net
    Ella
    ella@vc-solutions.net
  5. 5
    Copy your Measurement ID
Still in Admin: Data collection and modification → Data streams → click your web stream. The Measurement ID starts with G-. Paste it below.
I don't know who owns our Analytics.
It's usually whoever built the website: corporate marketing, the franchisor or a web agency. Put their name in the help note and we'll handle the ask.
Our ordering site is a different website from our main site.
That's normal. If there are two Analytics properties, add us to both, or tell us about the second one here.
We use a different analytics tool.
Tell us which one in the help note. Google Analytics isn't required if the ordering-page tracking is in place.

Give us access to Google Tag Manager (if you use it)

If your site uses Tag Manager, we can install and test the ad tracking ourselves instead of adding more work for your web team.

  1. 1
  2. 2
    Open the Admin tab
Select the container for your website (its ID starts with GTM-), then click Admin at the top.
  3. 3
    Container → User Management
Click the blue + → Add users. Paste our email and give the container Publish permission, then click Invite.
    Our access email
    keeganzoller@vc-solutions.net
I have no idea whether we use Tag Manager.
That's fine. Choose "Not sure / skip" and we'll confirm with your web team as part of the ordering-page tracking step.

Add Martin to your Google Business Profiles

Your Google Business Profile is the listing people see on Maps. Manager access lets us connect it to your ads for location extensions and store-visit reporting, and keep hours and photos current for local campaigns.

  1. 1
Search your store name on Google
Sign in with the Google account that manages the listing. Your profile shows up with edit tools at the top.
    Open business.google.com
  2. 2
    Open Business Profile settings
Click the ⋮ (three dots) menu → Business Profile settings → People and access.
  3. 3
    Add Martin as a Manager
Click + Add, paste Martin's email, choose Manager, and click Invite.
    Martin
    martin@vc-solutions.net
  4. 4
    Repeat for each store
Managing many locations? In Business Profile Manager you can add Martin to a location group once instead of store by store.
I don't see edit tools on our listing.
You're likely signed in with a different Google account than the one that owns the listing. Try your other accounts, or put who owns it in the help note.
Why Manager and not Owner?
Manager is all we need. You stay the Owner and can remove us anytime.

Set up read-only access to Qu (your POS)

Read access to Qu lets us pull transaction data and trend lines by store, so we can show whether ad-driven weeks move real sales. Please reach out early so the dashboard is ready by our next meeting.

  1. 1
    Email Keegan for instructions
Qu access is set up a little differently for every group, so Keegan will send you the exact steps. Use the button below to ask for them.

keeganzoller@vc-solutions.net

Can you change anything in our POS?
No. We ask for read-only access. We can see reports, not edit menus, prices, employees or settings.
Do you see customer card numbers or personal info?
No. We only need sales totals, check counts, items and timestamps by store. Payment card data isn't part of Qu reporting access.
Should I just send you our Qu login?
Please don't. Shared logins get locked out and are hard to revoke. A read-only user or data access set up by your admin is safer for everyone.
Why is this urgent?
Trend lines need history. The sooner we connect, the sooner your dashboard shows before-and-after for the launch.

Connect us with your online-ordering web team

This is the one piece that has to be done before launch. Tracking on your ordering pages is what shows which orders came from the ads. Your web team handles the install. You just need to connect us.

  1. 1
Tell us who your web contacts are
Add the people on your web or ordering team below.
  2. 2
Send them a quick intro (optional)
Copy the email below so they know the request is coming from you.
  3. 3
We send them the technical instructions
We send your web team exact instructions for Meta and Google tracking on the ordering and order-confirmation pages. Nothing technical is needed from you.
  4. 4
    We confirm before launch
We test a real order path and confirm the tracking is live before ads go on.
Why can't ads launch without this?
Ads would still run, but we'd be guessing which ones drive orders. Tracking lets us move budget to what actually sells.
Does this change how our ordering site works?
No. These are small, standard tracking snippets. Customers won't notice anything.
Our web team is at corporate / the franchisor.
That's expected. Just give us the contact. We work with brand web teams regularly.
